BADGE INSTRUCTIONS NEW OR REPLACED

For safety and security measures, all employees must have their identification card easily visible when on the WISD Wagner Road campus.  An identification card allows us to easily identify other staff members, including staff from other programs on campus such as Honey Creek, and Gretchen’s House.  If you encounter people in the hallway that do not have identification cards, feel free to ask if they need assistance.  It’s a great opportunity to provide good customer service while doing our duty to provide a safe and secure learning environment.  [Please be conscious of the person’s behavior and belongings; report any suspicious person(s) to your supervisor immediately].

New Employee Request

The form is included with the initial Welcome packet.  If you didn’t receive the form, please fill out a request form (located in the Human Resources Department (paper copy) or on the District webpage). Complete the form (which needs to be signed by your immediate supervisor and the HR director). Return the completed form to the Human Resources Department and contact Karen Waitz (at ext. 1310) to have your picture taken for the ID badge. HR will contact you when your badge is ready for pickup.

Replacement Request

If you have a damaged or lost badge that needs replacing, fill out the Replacement form (located in the Human Resources Department (paper copy) or on the District webpageand ask your Supervisor to sign it.  [If you have a damaged badge please tape it to the form].  Return the completed form to the Human Resources Department.  After your form is turned in, your badge will be ready within 3 business days.  You will be notified either by phone or email when it is ready for pickup. [Please note: Recurring instances of misplaced or lost cards may result in disciplinary action and/or assessed fee.]

ID CARD, BUILDING ACCESS AND TLC BUILDING ALARM

WISD has been implementing various safety and security measures over the last several years to provide a safer, yet user-friendly environment for our students, visitors and staff.  One of those measures is to issue identification cards to badges to WISD staff.  Another is to provide better access control in our facilities and improved directions/signage for visitors.                                            

From a safety perspective, it’s extremely important to be able to identify the people that should be in the High Point and TLC buildings. (i.e. staff, authorized visitors, etc.).  An identification card allows us to easily identify other staff members, including those from other programs on campus such as Honey Creek and Gretchen’s House.

All employees must have their identification card easily visible while on the WISD Wagner Road campus.  Itinerant staff should wear their cards at all times, whether on the WISD campus or not.  Outcenter staff should discuss this issue with their supervisor since it may or may not be appropriate or conducive to have a WISD identification card displayed by Outcenter classroom staff at the building in which the class is located.

When your identification cards was originally issued, you were given the card and either a clip-type holder or a rope style lanyard.  The important consideration is that your card is easily visible to others and be displayed in a safe manner given your work assignment.  Do not wear your card underneath any of your clothing, or at or below your waist.

The identification card also serves as a key card for gaining access to various locked doors.  Currently the following doors have security locks that are operated by your identification/key card:

Teaching & Learning Center – Doors will be locked at all hours. 

Exterior door near the Special Education area and Technology Services.

Exterior door near the Business Office

Exterior door near the Superintendent’s Office

Interior door leaving from and coming into the Instructional Services area

Exterior glass door near the shipping/receiving area.

The interior glass doors between the administrative office area and the TLC conference area will also be locked between 5 p.m. and 7 a.m.

High Point School – All exterior doors, with the exception of the main entrance are locked.

Employees’ cards were individually programmed to allow access to locked doors. Your specific card was programmed to allow you access to the doors which someone with your job title would most likely need access, and within the hours you might routinely need access.  If you aren’t aware of your door and time access authorizations, please contact Diane Sevigny or designated support staff.

We do have the capability to temporarily change your access rights as well.  However, all such requests must be made to Diane Sevigny at least 3 days in advance of your desired access time.  Weekend access requests must be received by Diane Sevigny no later than Thursday at 2:00 p.m.  These temporary requests should also be made through your supervisor, so plan ahead.

Important notice: For those of you entering the TLC building during business hours the building is closed, please be aware that your access card DOES NOT disarm the security alarm!  The security alarm is typically activated M-F, from midnight to 7 a.m. and all weekend.  If you have access rights during these times, you must also have an alarm code to be able to disarm the security alarm.  The security alarm panel is located by the exterior door near the Superintendent’s office.  Staff accessing the building during the above hours must enter through that entrance and disarm the system.   If you set off the alarm system by accident, immediately contact the alarm company; the phone number is located inside the alarm panel.  If you do not, the police will likely be dispatched.  In addition, the Superintendent or Assistant Superintendent for Business will be called to respond to the alarm and come to the premises to re-arm the system.  Recurring instances of setting off the alarm system may result in disciplinary action.  Alarm codes should also be requested through your supervisor. 

If your identification/key card is lost, misplaced, or stolen, notify Diane Sevigny and your supervisor immediately.  They can ensure that the system is updated to prevent access with that card.  You will have to fill out a Badge Replacement Form, have your supervisor sign it, and turn it in to the Human Resources Office.  [Please note: Recurring instances of misplaced or lost cards may result in disciplinary action and/or assessed fee.]

Upon termination of employment with WISD, the card should be treated just like a key and returned to the Human Resources Office.  If you have any questions, please feel free to contact your supervisor, Diane Sevigny (x1403) or Brian Marcel (x1402).
